Manual for Presentation materials (PPT, Photos, Videos, Sounds, etc.) for the NVC Main Sanctuary

Requirements for internal and external speakers/missionaries/seminars

Many speakers, pastors and missionaries are utilizing various media, including Powerpoint, video, animation, embedded songs/sounds, and captions.  In order for all these media to be operated properly, we need to design and verify they all work within our media environments in the main sanctuary.

General problem is that our main sanctuary system is based on Mac, ProPresenter, and our LED screen is not standard 4:3 or 16:9, so that most PC generated materials require some rework  or reformatting to work successfully.  

This is especially true for embedded videos within Powerpoint generated in PC environment – in all cases, we will need native video file supplied separately to make it work in our system.  

This is fundamental reason why NVC Media team requests delivery of all presentation materials no later than 48 hours before the presentation or sermon time.

Many external speakers bring a USB right before the presentation and tell us this was already used and ready, but this will never work within our NVC system.   We cannot even edit or make them compatible with our system like a few hours ahead of the presentation slot.

Therefore, please follow the following guidelines to deliver your presentation without any issues at NVC Main Sanctuary.  This will save much headaches and frustrations on both parties.

1. Please deliver all your presentation materials no later than 48 hours before the presentation time (Bible verses, powerpoint, photos, videos, hymns, sounds/songs, etc.) to mediateam@newvisionchurch.org.   Please do not hand deliver a USB or storage media, and do not e-mail to individual recipients – we cannot guarantee your files will get to the right people in time. 
2. If you want to flip the powerpoint files yourself using a remote, please let us know 48 hours ahead of time.  We use ProPrensenter, which does not support remote unit.  We need to convert to a different computer with Powerpoint ahead of time.  We can provide you with a remote unit as long as you give us 48 hour notice.  Otherwise, it does not work.  
3. Please deliver to mediateam@newvisionchurch.org by e-mail or via USB, 48 hours ahead of time
   1. Please generate PPT slides using 16:9 format, and be sure to send us embedded movies or sound file in their native format.  (As we said, embedded movie or sound does not work in our system) 
   2. Announcement slides or videos:  if you don’t allow ¼” (or 0.5 cm) margin on the right hand side, it will be cut off in our LED screen due to its non-standard format.  Either send us powerpoint files with sufficient margin on the right hand side, or send us native graphic files for editing.   .
4. Please deliver all movie files must be .MOV or MP4 formal, and sound files in MP3 format, 48 hours ahead of time to confirm compatibility to our NVC system.  Otherwise, no presentation materials can be utilized.  
5. Sermon title, texts, Bible verses and outline
   1. If you have sermon outline, Bible verses or sermon notes, please send to mediateam@newvisionchurch.org 48 hours ahead of your sermon.   

Be sure to send all your materials to mediateam@newvisionchurch.org group e-mail, not to individuals.  In such cases, we cannot guarantee your materials will be delivered to the Media team on time.
